On behalf of DAS Fleet Services, we thank all our customers for a successful FY16 and would like to share some highlights on the FY17 horizon. (See direct links below for your convenience.) I encourage all employees to become familiar with the new DAS Fleet Services Policies and Procedures Manual posted on the DAS Fleet Services website. This helps ensure all drivers follow safe and consistent practices for the benefit of everyone.

In addition, a new Motor Pool flyer outlining services and procedures has also been posted on the website. It is available for reference or to print as needed.

Agile Fleet Commander Kick-Starts FY17

The new online reservation system went live July 1 ... and it's off to a great start!
  • Currently there are 1,400 drivers and reservers registered in the system.
  • More than 210 day-trips were logged in July.
  • Our first billing cycle with automated mileage reporting went off without a hitch - no manual reporting necessary, making the monthly motor pool billing process more convenient for everyone!
We appreciate the positive comments we've received from our customers, including the following from the Department of Natural Resources:

"One of my employees just used the new system.  He said he was able to schedule 7 trips in 7 minutes! He is very happy with how easy it is to reserve a car. Thought you would want to know.  Thanks for putting this process in place." Lori McDaniel, Environmental Program Manager

If you do not have access to the system and would like to become a registered user, visit the Motor Pool webpage or sign up now. Fill out the registration form and click submit. Motor Pool administrators will see your request and apply your approval or follow up with additional questions if needed.

Fleet Motor Pool - the Right Mix to Meet Your Needs!
DAS Fleet Services offers four classes of vehicles to meet your motor pool needs: compact, mid-size and full-size sedans, as well as minivans. (See flyer for rates.)

If a larger vehicle is needed, DAS Fleet Services' contract with Enterprise Rent-A-Car can accommodate your request. Simply contact John Johnston at 515-281-5122 to schedule arrangements. The Enterprise vehicle will be picked up and parked on the 3rd floor of the Capitol Complex Parking Structure at 650 East Grand. A WEX fuel card will be ready with the keys for pick up at Fleet Services. It's as convenient and easy as getting a DAS vehicle. 
 
WEX Fuel Cards - Coming This Fall!
As announced in the last edition, the State of Iowa's new Wright Express (WEX) cards will begin arriving mid-September. The replacement cards will be sent directly to the appropriate agency fleet contacts.  All cards will be distributed before the current cards expire in October. The Secret to a Happy Car ...
Have you had your vehicle serviced lately? A well-maintained car is a happy car. The summer months mean engines work harder to keep us cool, so treat your vehicle right and follow these maintenance guidelines. 
  • Change oil and filter every 5,000 miles or six months
  • Lubricate chassis every 5,000 miles or six months
    (Note: The frequency between oil and filter changes and chassis lubrications are maximums under normal driving conditions. They should be performed more frequently for vehicles driven under more extreme driving conditions.)
Complete Preventative Maintenance Inspections (PMI) must be performed at odometer increments of 30,000 miles, or every 18 months, whichever occurs first. Appointments should be scheduled in advance with the following minimum time frames for completing a PMI and any additional work if necessary:
  • 30,000 mile PMI – one day
  • 60,000 mile PMI – two days
  • 90,000 mile PMI – two to three days

Save Time and Money on Tires with Direct-Billed Service Providers
DAS Fleet Services has national agreements with Goodyear, Firestone, and Michelin for discounted tire prices at participating distributors and dealers to help State agencies save time and money on vehicle tires.

Doing business with direct-billed service providers provides two main benefits:
  • Centralized electronic billing
  • Customer service assistance to resolve local service issues

Schedule Your Fall Tune Up
Back-to-School season means fall is just around the corner. Get your trusty State vehicle ready! Now through October 31, our $38.59 fall tune up includes a full inspection:  brakes, tires, tire pressure, coolant, suspension, fluids belts, hoses, battery, and charging system.

The DAS Fleet Garage is staffed to complete required services and repairs by appointment. Please call the Garage at 515-281-3162 to schedule today, or contact DAS Fleet Garage supervisor Ron Christensen for additional information or assistance.
Risk Management
 
Defensive Driving Classes
As part of the State of Iowa's risk management program, Defensive Driving Classes should be taken by State employees who are:
  • Newly assigned to a State vehicle
  • Frequent State vehicle drivers (a refresher course at least once every three years) 
  • Involved in aautomobile accident while driving a State vehicle which was totally or partially caused by their negligence (must attend the earliest available Defensive Driving class; refer to 11 IAC 103 for State Employee Driving Guidelines).
Upcoming classes will be held from 8:30 a.m. to 12:30 p.m. at the Iowa State Patrol District 1 Headquarters on 2nd Ave. (260 NW 48th Place) in Des Moines on the following dates:
  • Thursday, September 8, 2016
  • Thursday, October 13, 2016
  • Thursday, March 9, 2017
  • Thursday, April 13, 2017

Accident Reminders
In the unfortunate event of an accident, remember to contact the DAS Fleet Risk office immediately and provide as many details as possible when leaving a message: driver's name, vehicle number, location and severity of the incident; whether the vehicle was towed and to what vendor and city. This helps the risk manager respond more efficiently.

Refer to the instructions provided on the insurance card and Vehicle Accident Reporting Procedures packet in the vehicle’s glove box for next steps.

And remember to follow the Do's and Don'ts below:

Do:
  • Report the accident immediately (within 24 hours).
  • Fill out an accident report within 72 hours.
  • Have all repairs completed within 60 days.
  Do Not:
  • Admit liability.
  • Attempt to settle your claim. You are not authorized to do so.
