Electronic Invoicing Saves Your Department Money


When you order an item through U Market you may have noticed how effortless the payment process is. Once your cart is ready just add your EFS chart string and delivery address and your job is done.

That’s because U Market’s invoicing system is seamlessly integrated with the University’s Enterprise Financial System (EFS). After you submit your cart and an EFS purchase order is created, U Market receives an invoice from the supplier and matches that to the EFS purchase order. It’s all electronic and overseen by a single staff person.

Last year we processed more than 158,000 invoices at an average cost of just 40 cents per invoice. Given the additional steps required (remember, no systems receiving is required for U Market purchases), we estimate that processing invoices outside of U Market is 10-20 times more expensive. From confirming the order was received to entering the receiving to navigating any vendor issues—the process is much more labor intensive.

Tom Quinn is the Assistant Director of U Market Services and manages the department's Communications/Marketing, Technology and Purchasing efforts.

In addition to leading the U Market Users Group, Tom is an integral member of a cross-departmental team, which manages and monitors all things U Market. Tom established the University’s first e-procurement system, U Stores, in 1997 and has been working to increase its usability and efficiency ever since.
