Running our U3A organisation is basically a very simple operation - we share the tasks between several people and try to have fun whilst doing so. Most of your committee have, however, served since the start of Lostwithiel U3A in 2013 so several will be standing down at the AGM. We will be electing a new committee at the AGM on Monday 15th May so please read on and see if you think you would like to join us.
The committee meets once every two months for about one hour. It is a friendly round table meeting where we discuss what we can do to make the Open Meetings and the Interest Groups as good as they can be.
There are several roles: The Chairman runs the committee meeting and hosts the Open Meeting. If each member of the committee does their job there is nothing else for them to do! Key skill – confidence to run a meeting, skill in encouraging others.
The Business Secretary takes the minutes at the committee meeting and distributes them via email. Key skill – should be able to write a set of minutes and send emails.
The Treasurer pays money in to the bank and writes cheques for U3A expenditure. They record all of this on a database system and summarise it at the end of the year. Key skill – it helps to like numbers quite a lot and be an organised person.
The Membership Secretary deals with enquiries from new members and collects subs once a year from existing members. Key skill – happy to deal with enquiries on the phone and able to enter details into a computer.
The Interest Group Co-ordinator is an advisor for the Group contacts and acts as a central information point for new members. Key skill – talking to people.
The Publicity Officer writes about what we do and sends information to members, the press and local newsletters. They also create posters and display them around town. Key skill – able to use PC to draw up posters and email news to members and the press.
The Speaker Secretary organises 6 speakers per year, liaising with them prior to their presentation. Key skill – enjoys researching interesting topics and finding new speakers.
The Webmaster maintains Lostwithiel U3A website, helps Group Contacts to update their information and sends out communications to all members. Key skill – interest in computing and willingness to learn new skills.
We also have committee members without a specific job title who contribute to the committee meetings, come and help open the Church Rooms, lay out the chairs, make the tea and coffee at the Open Meetings and help out with other small tasks as and when they occur. Key skill – happy to help in a variety of small ways.
For 2017/18 the existing committee are considering introducing the role of Vice Chairman, who would deputise for the Chairman. There is no requirement in our constitution to appoint a vice chairman and this is a role which has previously been covered by other committee members when required.
As we say, none of our roles are huge in their own right but they are fun and enjoyable when the right sized team share the jobs between themselves.
