St Thomas Railway City Rotary Club Minutes - October 20, 2021

Presentation:  

Financial Report - Helen
Helen reviewed the motions approved by the Board including the purchase of two freezers and additional equipment for Inn Out of The Cold (IOTC).   It appears that IOTC will move to its new location by the end of November. Helen further noted the most recent earnings from Jackpot Bingo were $2 604.07 and $2 639.04.  

Committee Updates
Hospice- Diane
Diane referred members to the report previously circulated.  Diane referenced the Art and Wine event that will done by Zoom.  Club members are encouraged to contribute any art. The art will be kept at Sandy's house and photographed at Eleanor's gallery.  Members are also encouraged to create baskets or send $50 to Ann so Ann can create baskets for auctioning. 

The Trivia fundraiser will be held in February, 2023, and the committee will work with Hospice of Elgin to promote this event.

Members will be receiving a letter from Roland and Scott soon that will invite members to donate to the Hospice of Elgin.  The committee is hoping  all members will donate  regardless of the size of the donation.

Members are reminded of the joint meeting with the St. Thomas Rotary Club on October 27 to announce the final commitment to the Hospice of Elgin.

Fundraising - Paul 
Bill  reported that the two markets have yielded $12,400.09  to date with the Christmas market at Wildflowers scheduled for November 13. 

In person Jackpot Bingo will be starting soon.  Eleanor has started to email members about the requirements for Jackpot Bingo.   

International - Mark F

Local Community Service - Sandy
Al noted that the Dictionary project is underway and the results of the school consultations will be shared with the Dictionary Committee and Helen for next steps. 

Thanks to Paul and Mark for delivering the meals to IOTC.  

Kathy reported that the VON project with 5 members participating continues to go well.  

Sue said that Christmas Care is looking for volunteers between 10 am and 4 pm. as well as additional help with heavy lifting on November 1.  Interested in Volunteering with Christmas Care?  Contact 519-637-0710.


Wildflowers- Bill
Please contact Bill if you can volunteer for the Christmas Market on November 13, 2021. 

It was reported that he appreciation event was well attended and the market owners and vendors expressed their gratitude for the work of the club directing parking.

Horton Street Market- Sandy
Sandy thanked everyone for their participation in both markets this year.

Rotary Youth Exchange - Al G
Al commented on items in the Youth Services Committee Report.

Administration - Bill C  
 Bill referred to his report as circulated.  Members interested in assuming  a position on the Board next year should contact President-Elect, Al.  Al will reach out to members regarding their roles in the club for the upcoming year.  Nominations must be completed in November with elections taking place at the AGM in December, 2021.  

Kathy has agree to assume the duties of Secretary for the club.  Kathy and Al will work together to ensure an orderly transition.    Thank you, Kathy!

Polio Update/Challenge
In light of World Polio Day on October 24, Paul sent a link by email to all members about Polio Plus.

Upcoming Events
Our club will participate in a joint presentation and meeting with the other Rotary club and Hospice of Elgin representatives on October 27.  The presentation of our club's contribution to the project will be held at Waterworks Park at 4 p.m. to be followed by a joint meeting at the Wayside Inn at 5 p.m.

STRCRC Board Report               October 19, 2021
 
Attend:  Paul, Helen, Diane, Sandy, Bill, Al

Paul called the meeting to order at 7:12 p.m.

The Committee Chairs and the Treasurer presented their reports.  There was considerable discussion about the reports.  Committee Chairs will provide highlights of the reports at the upcoming club meeting.

Notes:
As incoming club President, Al, will be asking for volunteers for positions on the Board for next year.  At the moment, there seems to be a specific need for Vice-President, Secretary and Fundraising Chair.  Al will check with those doing their current roles and will be seeking out those who may be interested in joining the Board.  The slate of nominees for next year should be presented at a General Meeting in December.
Sandy will be speak to Scott C. about the club’s involvement in the Christmas Parade this year.
Al will see about name badges for Kathy, Roland and Bob. 
Sandy and Bill will represent the club at Joint Service Week presentation at the Caring Cupboard on Tuesday at 1:00 p.m.  The club will donate the $1,000 allocated in the budget.
Members can contact Al, and he will email a Master List of club members for those who have not found the list on Google Drive.
The District Grant for the freezer is approved with the other projects in progress.
There were lengthy discussions regarding the timing and appropriateness of in-person vs. virtual club meetings (location, technology, technical expertise, member inclinations, hybrid meetings) and fundraising events because of Covid-19 and the impact of current and possible government regulations.  Bill will be surveying club members in order to take into account the opinions of members.  For the next little while, Paul will be reserving a table the Roadhouse for dinner after some Wednesday meetings for those club members who would like the opportunity to eat together and socialize.

The following motions were passed:

That all monies from the Wildflowers Christmas event on November 13 be allocated to the Rotary Project account.

That the monies collected at the Horton Street Market amounting to $176.04 after the 10% operational holdback be given to the Food Providers Network.  
Motion:  Mover:  Helen   Seconder:  Paul
That all monies collected at Wildflowers and the Horton Street Market be allocated to the appropriate budget lines minus the 10% operational holdback.

That $10,000 from the OLG account be moved to the Reserve account.

That the club purchase two upright 20 cubic feet Frigidaire freezers from COSTCO at $749.99 plus HST and arrange for delivery of the freezers. 
Paul adjourned the meeting at 10:25 p.m.
